This page explains the legal terms for using TopTravelVisa services, including responsibilities, cancellations, and refund rules.

1. Service Scope and Positioning
TopTravelVisa is a private, independent support service. We are not affiliated with, endorsed by, or operated by any government authority. Our service helps travelers prepare and submit arrival card information accurately and efficiently.
Travelers remain responsible for checking official requirements and ensuring they meet all entry conditions imposed by Malaysian immigration authorities.
2. User Responsibilities
- You must provide accurate, complete, and truthful information.
- You must ensure passport details are valid and match your travel documents.
- You must submit within the official allowed time window prior to arrival.
- You are responsible for reviewing your details before final submission/payment.
3. Cancellations and Order Finality
Canceling your order isn't possible due to our integration processes which will automatically start after application.
4. Refund Policy
A full refund is available in limited cases only.
4.1 When a Refund Can Be Issued
If your application is rejected due to a direct error made by our team during the data entry or submission process, and we are unable to correct it in a timely manner, you are eligible for a full refund.
4.2 When a Refund Cannot Be Issued
We are unable to issue a refund under the following circumstances:
- Application Issues due to User Error: If your application encounters issues due to incorrect, incomplete, or false information provided by you. It is your responsibility to ensure all data submitted is accurate.
- Change of Travel Plans: If you decide to cancel your trip after your Malaysia Digital Arrival Card has been delivered.
4.3 How to Request a Refund
To request a refund, follow these steps:
- Contact Us Immediately: Submit your request through our contact form (to be added).
- Provide Your Details: Include your full name, the email address used for the application, and your order reference number.
- State the Reason: Clearly explain the reason for your refund request.
Our team will review your request within 3-5 business days and notify you of the outcome.
4.4 Refund Processing Time
If your refund is approved, it will be issued within 72 hours via the same payment method used for your original purchase. A confirmation email will be sent to you as soon as the refund has been processed.
Please allow up to 10 business days for the refunded amount to appear on your bank or credit card statement, as processing times vary depending on your financial institution.
5. Approval and Rejection Information
Approval/Acceptance
If your application is successful (which is the most common case when details are accurate and complete), you typically receive immediate or very quick confirmation. This may include an automated email with your MDAC details, a reference/PIN number, or a downloadable confirmation (such as PDF or QR code).
Many travelers receive this email shortly after submission and can use it (together with their passport) at the immigration counter upon arrival. Status may also be checked using your PIN/reference.
Rejection
If your application is rejected, you will receive an email notification explaining the rejection reason from the Malaysian immigration. Rejections are relatively rare when the form is completed correctly.
Common rejection causes include:
- Incomplete or inaccurate information
- Invalid passport details
- Passport validity less than 6 months remaining
- Discrepancies in provided data
- Submitting too early (before the allowed 3-day/72-hour window prior to arrival)
If rejected, it does not automatically mean you are barred from entering Malaysia. The MDAC is an arrival card registration process (replacing the old paper form), not a visa in most cases. It means your current submission is invalid.
You can and should submit a corrected application addressing the issues noted in the rejection email. As long as you hold a valid MDAC before or upon arrival (ideally after prompt resubmission), entry is usually straightforward and remains subject to standard immigration checks.
